Reservation and cancellation policy

BOOKING INFORMATION

All tour prices are based on the services detailed in each tour’s itinerary. Services are sold as a complete package and PERU OUTDOOR EXPERIENCES will not be able to provide a breakdown of the component costs of a trip. Please note that rooms can only be booked and hotels confirmed once you have personally approved your program with a deposit. After your approval, we will require two business days in order to secure all hotels and services. Please send your reservations to the following emails: alberto@poexp.pe, enjoy@poexp.pe, contact.poexp@gmail.com Along with this email, we would very much appreciate you sending us the complete program with the date of service to be reserved, full names of the passengers, nationalities, age, passport numbers, food restrictions and any important additional information you think we should have. In the case of booking the Inca Trail, Hotels or trains the reservation should be made in advanced, attaching all the information required to buy the entrances:

Date of birth

Nationality

Our reservations department will answer your email in no more than 24 hours and will let you know the status of your reservation.

PAYMENTS:

For all our services we require a deposit, such as the Inca Trail, hotels and others. We require a 50% deposit to be made upon confirmation of the reservation and the remaining 50% to be sent 45 days before the beginning of our services.

OTHER THINGS TO CONSIDER:

- You must advise our company of any medical problems or allergies. You need to be in good physical health and if your health is questionable, then you should consult a doctor about high altitude trekking. If you are over the age of 65, then you will need to present us with a current medical certificate.

- You must advise your guide if you wish to leave the group or the camping area for independent walks or sightseeing. If you are experiencing any problems with the service of the guide or tour please advises the guide or our office in that moment so we can resolve any problems as soon as possible.

FINAL PAYMENT:

If a final payment is not made by 12 noon tow days before any tour or service such as the Inca Trail, the total balance will be charged in US$ to your credit card plus as 6 % CANCELLATIONS FOR INCA TRAIL RESERVATIONS OR OTHER SERVICES THAT REQUIRE DEPOSITS: For cancellations made from the confirmation day up to 45 days before the beginning of our services, we will charge 30% of the total amount. For cancellations made between 44 days and 30 days before the beginning of our services, we will charge 50% of the total amount. For cancellations made less than 29 days before the beginning of our services, we will charge a full 100% penalty.

NOTE:

Entrance fees may vary according to INC (the national institute of culture) regulations. in this case, we will inform you immediately in order to readjust our prices. In case the personal information sent by clients is changed or modified, they will be subject to penalties or cancellations. In case any passenger with an Inca trail service renews his/her passport, he/she will have to bring a copy of the old passport as well as the valid (original) passport in order to enter the Inca trail. On special holidays, such as Labour Day (May, 1st), Independence Day (July, 28th), Christmas (December, 25th) and New Year’s Day (January, 1st) we will charge an additional 50% per client. this is to reattribute the staff who will be working on those special days. We pick up and drop off our clients in their hotels in Cusco or the sacred valley, only if these are located along the route of our service. PERU OUTDOOR EXPERIENCES will take all reasonable care in providing service to our clients to avoid accident, illness, loss of personal property and will only employ suitably qualified staff. We accept responsibility for the actions of our own employees. PERU OUTDOOR EXPERIENCES cannot however be responsible for any action or event that was unforeseeable or unavoidable. We also cannot be responsible for improper acts by clients or other third party. You are totally responsible for your own personal property and rented equipment. PERU OUTDOOR EXPERIENCES does not take responsibility for additional costs due to unfavorable weather conditions, natural catastrophe, strikes, accidents, illness, injury, loss of personal items, etc. It is the clients’ responsibility to carry insurance to cover these types of events. We reserve the right to modify or cancel the program due to any of the unforeseen conditions listed above. - Travel Insurance: We recommend that full travel insurance is taken, which includes cover, under certain circumstances, against the loss of deposit or cancellation charges. Please note that no reimbursements are given when cancellations occur or for any unused services. PERU OUTDOOR EXPERIENCES will do everything possible to assure a safe and enjoyable trip but we will not accept any responsibility for damages, injuries, losses, expenses due to delays, for any cause whatsoever, this applies to any person or property in connection with any service we or our intermediaries provide, which result directly or indirectly.
